Galavanta’s events team is distinguished by its creativity, innovation, and for pushing boundaries. From special themed dinners with top chefs to thought-provoking talks and spectacular performances to keep guests dancing all night – we love to weave in unexpected elements that go above and beyond.
Our in-house event planner works directly with each provider, from decoration to entertainment, to catering and top production / AV providers with the latest technology to guarantee the best quality and prices. We then organise decoration mood boards, minute-by-minute agendas, and site visits with tastings and provider meetings to ensure everything is aligned with the clients’ expectations.

THE PROCESS
1. Define the Vision
Identify the group’s objectives and preferences, and brainstorm ideas for the conceptualisation of experiences and events.
2. Budget design
Itemised budget presentation, adapted to the clients’ preferences.
3. Branding & design
Develop brand identity, personalised forms, and branded documents.
4. Trip confirmation
Reception of forms, personalised communication with each guest, and individual credit card links (no extra fees).
5. Pre-trip preparation
Custom designed materials such as itineraries, maps, packing lists, pre-trip literature and movie recommendations, and suggestions for time at leisure.
6. Advance trips
Advance meetings with event organizers to visit venues, do menu tastings, meet with providers and review the minute-by-minute agenda.
7. Trip execution
Experienced english-speaking team dedicated to the group 24/7 to the group, providing concierge services, and ensuring a smooth execution throughout.
